Knowledge

A place to write down how work gets done, so your team and AI read the same thing. Creating, linking to goals, sharing, and publishing.

Last updated: 2026-10-05

Knowledge is where your organization keeps how its work is done. Once you save it, members and AI (Claude Code, Codex) can proceed with the work the same way. You no longer have to explain the same thing every time.

Goal

What to do

Send a proposal to Company A

Ideal

Company A accepts the proposal

Goals hold the purpose and current state; Knowledge holds how-tos you use again and again

Ask AI to save it, and AI uses it from then on

1

Ask AI

Save the way we do this now as knowledge
I created the knowledge "Create and send a proposal"
2

Knowledge is created

When to use

When sending a proposal to a customer

3

The next similar work

Send a proposal to Company B too
I read the knowledge "Create and send a proposal" and will proceed the same way

Once a how-to is saved, AI finds and reads it next time and proceeds the same way

Ask an AI connected to Addness, "Save the way we do this now as knowledge," and the AI puts together the name, when to use, and how-to and creates the knowledge. The next time you ask for similar work, the AI finds and reads that knowledge and proceeds the same way. When it gets outdated, ask "Fix this knowledge," and the AI fixes it.

One entry is a name, when to use, and how-to. The right side shows how many times AI read it

  • Name: Start with a verb, like "Take a PR from review to merge"
  • When to use: Write the situation in one line. People and AI use it to decide whether to open this knowledge
  • How-to: Write the steps. You can use Markdown for headings and bullet lists

"AI reads" on the right shows how many times AI has read it and the history of the latest 20 reads (when, which AI, whose AI, and for which goal). Just opening it on screen isn't counted.

Press "Use now" to choose "Proceed with this how-to" or "Refine this knowledge" and hand it to AI. The handoff works the same way as "Ask AI" (→ Goal page: "Ask AI").

Opening it and creating it on screen

  • Open: On desktop, press "More" in the sidebar, then "Other features," then "Knowledge." Pin it and you can open it directly from the sidebar. On mobile, it's under "More" in the menu (≡) at the top left
  • Create: Press "Add knowledge," set the name, when to use, and the folder, then press "Create." A screen for writing the how-to opens. To change it later, press "Edit"
  • Search: The search box searches names, when to use, and the body all at once. You can filter by tags and owner

Linking to goals

In the "Knowledge" section of the goal detail, press "Add" and choose the knowledge to use. If you can't find it, you can create it right there and link it.

  • Knowledge linked to a parent goal is also listed on child goals under "From parent goals"
  • When the AI reads a goal, it reads the linked knowledge too
  • Linking doesn't change who can see the goal or the knowledge

Detailed settings

Folders, tags, and owner

  • Folder: You can also create folders inside folders. A folder that still has contents can't be deleted
  • Tags: Add the organization's tags and filter by them in the list
  • Owner: The person who created it becomes the owner. The owner can be changed to another member from the share screen

Who can see it, and sharing

  • Knowledge you create can be read by everyone in the organization (including guests)
  • With "Share," choose "Everyone in the organization can read" or "Only shared members can read," and give each member "Can read" or "Can edit"
  • A folder's sharing also applies to the knowledge inside it
  • Organization admins can always see it, regardless of the share settings
  • Only the owner and organization admins can move, delete, or publish it outside the organization. Guests can only read

Update history

  • Each time it's edited, its version goes up by one, and "Update history" records who (including AI) changed what, and when
  • People with edit permission can view an earlier version and go back to it with "Restore this version." Restoring saves it as a new version, and the current version stays in the history

Showing it to people outside the organization

  • Turn on "Allow people outside the organization to read" on the share screen to create a public link. Anyone who knows the link can read it without signing in
  • What's visible is the name, when to use, how-to, the person who saved it, and the organization name. Linked goals, folders, tags, and history aren't visible
  • Edits made after publishing are reflected in the link right away. If you turn it off, the link can no longer be opened
  • People who open the link can save it in their own organization with "Add to my Addness." The saved copy is separate and doesn't change when the original is edited
  • If external publishing is turned off in the organization's settings, you can't publish
