Drive

One place to collect and find your organization's files, meeting notes, recordings, and uploads.

Last updated: 2026-10-18

What this page is for

Drive is the page where you place and share your organization's files, folders, and links (beta). The following are also saved in Drive.

  • Goal resources: Anything placed in "Resources" on a goal detail page also appears in Drive as an item linked to that goal
  • Meeting minutes: Minutes and transcripts of meetings (→ Meetings and minutes)
  • Screen recordings: Recorded files (→ Screen recording)
  • Uploads: Files, folders, and links you placed yourself

To open it, go to "More" (the left sidebar on desktop, the bottom bar on mobile) → "Drive" in "Other features." If you pin it in "Other features," you can open it directly from the left sidebar on desktop.

Screen layout

The left column (My drive, Shared drive, Trash)

On desktop, the entry points are lined up vertically in the left column of the screen. On narrow screens, switch with the "My drive" and "Shared drive" tabs next to the heading.

  • Shared drive: Items others have shared with you and items you have shared. Below it is "Goals" (a list of goals that items are linked to)
  • My drive: Items you own
  • Trash: Items moved to the trash. Restore and permanent deletion are done here
  • Storage: At the bottom of the left column, the organization's remaining storage ("◯ left of ◯") is shown

Filtering by type and goal

Under "Shared drive" and "My drive," entry points by type ("Folders," "Uploads," "Links," and also "Meeting minutes" and "Screen recordings" when there are such items) are listed; press one to show only that type.

Under "Goals" in Shared drive, the goals that items are linked to are listed, newest first. Open a goal to list only the items linked to it. You can narrow by "In progress" or "Completed" with "Status."

Toolbar

  • "Create folder," "Add link," "Upload": Add to the place you currently have open. You can also add files by dragging and dropping them onto the list. Folders can be created up to two levels deep (inside a second-level folder, you can place only files and links). Pressing "Upload" lets you choose "Upload files" or "Upload folder". You can also add a folder by dragging and dropping it onto the list, and it is created with its inner structure. Folders can go only two levels deep and files three levels deep, so a folder nested deeper than that cannot be uploaded
  • When uploading in Shared drive: First set who to share with and their permissions, then press "Share and upload." If you close without sharing, the upload is canceled
  • Filters: Filter by type ("All," etc.), "Favorites," "Owner," and "Tags." In My drive you can also filter by "Shared," and in Shared drive by "Shared by me" and "Shared by others"
  • View format: Switch between "Table" and "Grid"

Uploads are up to 50MiB per file and up to 100 at a time. Executable files can't be placed.

List

Name, owner, last updated, and so on are listed (columns are dropped when the screen is narrow). Press a column header to sort. On narrow screens, choose from the "Sort" menu.

A row's "…" menu lists "Add to favorites," "Share," "Download," "Rename," "Details," and "Move to trash" (which items appear depends on your permissions).

  • Download: Files are saved as-is; folders are saved as a zip of their contents. Links can't be downloaded. In the Addness app, folders can't be downloaded as a whole
  • Details: Check the type, location, creation date, who it's shared with, linked goal, and tags. People who can edit can add and remove tags
  • Manage versions: Appears in the "…" menu of uploaded files. "Manage versions" shows the list of versions (newest first, up to 100, with the "Current version" marked), and you can download each one. People who can edit can choose a file with "Upload new version" to replace the content as a new version, keeping the name, location, and sharing as they are. "Restore this version" brings back the content of an earlier version. The limit per file is 50MiB, the same as uploads
  • Favorites: Items you added to favorites can be shown with the "Favorites" filter

Search

Type in "Search names" above the list to search by name within the place you currently have open. Type and wait a moment, and the search starts.

You can also search Drive from an MCP-connected AI (Claude Code, Codex, etc.), within the items you can view (→ MCP integration guide).

Organizing (move, rename, trash)

  • Move: Drag an item and drop it onto the middle of a folder or onto the breadcrumbs. Because the item takes on the destination's sharing settings, who can view or edit it may change (a warning is also shown on screen). Moving requires edit permission on both the source and the destination
  • Rename: The row's "…" → "Rename"
  • Bulk actions: Select rows with their checkboxes, and "Download" and "Move to trash" become available above the list. You can move up to 100 items to the trash at a time; downloads are one item at a time
  • Move to trash: The row's "…" → "Move to trash," or drag it onto "Trash" in the left column. Moving a folder also moves the files inside it. Right after moving, you can bring it back with "Undo"

Permanently deleting from the trash

Items in the trash are permanently deleted automatically after 30 days. Until then, you can restore them or permanently delete them right away. You can see when they'll be deleted in the list's "Remaining" column ("◯ days left").

  • Restore: The restore button on the row, or select with the checkboxes and press "Restore" at the top
  • Delete permanently: The trash icon at the right end of the row, or select with the checkboxes and press "Delete permanently" at the top. Press it on the confirmation screen and it's deleted immediately
  • Items moved to the trash with their folder: The trash list shows the folder as one row. Open the folder to see the items inside. If you restore only an item inside, it goes back to the nearest location that isn't in the trash (or the top level of My Drive if there is none)

Once permanently deleted, it can't be undone. The storage used by uploaded files is freed right away. Permanently deleting a folder deletes everything inside it too (including items moved to the trash separately). For a link, only the link is deleted and the linked file remains (deleting links doesn't increase free storage). Only people who can edit can permanently delete. You can select up to 100 items at a time.

When storage is full

When storage reaches its limit, "Storage is full. New files cannot be saved." appears and you can no longer save new files. Items in the trash also count toward storage until they're permanently deleted.

  • Permanently delete files you don't need from the trash (→ Permanently deleting from the trash)
  • Upgrading your plan or adding seats increases storage. Storage is determined by your plan and the number of people (→ Plans and billing)

Organization admins can also check usage in "Storage" under Organization settings › Usage.

Sharing and permissions

Set who to share with from "Share" on each item. There are three kinds of sharing.

  • Member access: Share with an individual member as a Viewer or Editor
  • Organization-wide access: Share with everyone in the organization
  • Goal access: When linked to a goal, who can see it follows the goal's permissions (the goal's owner and editors can edit; members can view). A folder can be linked to only one goal, including any inherited from parent folders

Only the item's owner can change sharing with the whole organization and the goal link. Editors can change only sharing with members. Permissions that come from a parent folder or a goal can't be changed on that item's screen.

Requesting minutes (Google Meet, Zoom)

Request minutes for Google Meet or Zoom meetings from "Request meeting notes" on the Meeting notes page (you can't request them from the Drive screen). For the steps, see Meetings and minutes.

The resulting minutes, transcripts, and recordings are saved in Drive. In Drive, find them by filtering by the "Meeting minutes" type or by tags ("Meeting minutes," "Transcript," "Meeting recording"). On the Meeting notes page, you can read minutes back in a list without tracing through the storage folders.
