Customer Lists (CRM)

See which stage each customer is at in one table, and let your AI move things forward.

Last updated: 2026-10-15

What it does

The customer list lets you see what stage each customer is at in a single table, and ask the AI to do what comes next. Sales prospects, hiring candidates, partner companies — you can handle any party that moves through stages in order. Creating customer lists and stages, importing customers, and the morning refresh are all things you ask the AI to do via "Ask AI." You can also add customers one at a time from the table and fix the assignee, stage, and metrics.

To open it, go to "More" (the left sidebar on desktop, the bar at the bottom of the screen on mobile) → "Customers" in "Other features." On mobile, you can also open it from the menu (≡) at the top left. If you use it often, pin it in "Other features," and on desktop you can open it right away from the left sidebar.

Screen layout

ScreenRole
Customer listsThe entry point where the organization's customer lists sit. For each list you can see the customer count, stage distribution, customers needing attention, owner, and permissions. The left column lets you view lists by folder, and you can filter by tag
All customersThe screen for finding any of the organization's customers in one place. It also shows contacts and last interaction
List tableA table with one row per customer in the list. It has columns for customer, current stage, next action, contact, last interaction, point of contact, metrics, assignee, update, and marks
Customer pageThe screen showing one person's (or company's) contacts, activity, the lists they're in and their current stage, related goals, history, metrics, and notes
List rulesOne place to read the stages, daily refresh, metrics shown in the table, notes, status, and the intakes that add customers automatically

Every screen has a "?" button, where you can read how to view that screen and "what you can ask the AI" right there.

Getting started (4 steps)

Your connected AI can do these steps for you.

  1. Create a list: When you don't have a list yet, ask via "Ask AI" in the guide at the top of the screen. From the second list on, use "Ask AI" → "Create a new customer list" in the toolbar. The AI asks who you want to manage and what the stages are, then creates the list and stages
  2. Add customers: With "Ask AI" → "Import customers" in the toolbar, import customers from source data such as a spreadsheet
  3. Set the daily refresh: From "Ask AI" in the list table's guide, decide who refreshes by what time each morning (the update steward)
  4. Daily work: With "Ask AI" → "Proceed with today’s moves" in the list table, the AI reads each customer's stage and marks and suggests who to do what for today

The first time you open a customer list, a 5-step guide (list → stages → customers → update steward → ready) appears. The update steward is optional. With "Ask AI" on the current step, you can hand the AI an instruction for that step. When you close the guide, it stays small at the right end of the toolbar, and you can press it to reopen it.

If you want customers added automatically every time someone registers or purchases, connect an intake to the list (→ Adding customers automatically).

Terms

  • Stage: The segments customers move through in order from the top (the stages of the funnel). The bottom one, "Exit" (shown as "Exited" in the table and lists), is where customers who dropped out partway go. Per stage you can set "after how many days it's stale (if that many days pass with no stage move and no interaction, the customer gets the 'stalled' mark)" and "what to do at this stage (goal template)"
  • Current stage: The stage a customer is in now. In the table it shows as a colored stage name and days in stage
  • Related goals: Goals tied to that customer. The table's "next action" shows the incomplete goal with the nearest due date
  • Contact: The other party's IDs such as email, phone, LINE. The customer page shows whether messages reach them and the "Label" that shows the purpose
  • Last interaction: The most recent activity with the other party. The list table and "All customers" show when, where, and what happened in one line
  • Activity: The record of exchanges with the other party. It's listed newest-first on the "Activity" tab of the customer page
  • History: The record of operations inside Addness. Stage changes and merges/deletions of customers are kept on the "History" tab
  • Metrics (shown in the table): Columns you decide per list. Values carry a source, timestamp, and the person/AI who wrote them. Up to 20 columns
  • Marks: Markers placed on customers you want to act on. Five kinds: "stalled," "overdue," "possible duplicate," "unreachable," and "no incomplete goals"
  • Grass: Shows whether the daily refresh was kept over the last 14 days, one square per day (green = on time, yellow = late, red = no update, gray = not scheduled). It appears at the top of the list table and in "List rules." If the most recent day that is not gray is red, the top of the list table shows "Daily updates have been interrupted"; if it is yellow, it shows "Daily updates are past the deadline." When you pause a list, it shows "List paused." On the customer list overview, the "Status" filter narrows to lists such as "Daily updates interrupted" or "Daily updates late"
  • Notes: Memos (Markdown) you leave about a customer or list. The AI reads the notes before syncing

The contact and last interaction columns

The list table and "All customers" have these two columns.

  • "Contacts" column: Shows the type and count of the reachable IDs. If there are 0, it shows "No contacts." A company's row also includes the contacts of the people who belong to it
  • "Last interaction" column: Shows the date, time, and place, with a one-line summary. Sort by "Oldest activity first" to find customers you haven't been in touch with for a while

For unreachable customers, click the name and look at "Contact details" on the customer page.

Using the list table

  • Press a per-stage customer count to filter to just that stage's customers (press again to clear)
  • Filter by "act today," "stalled," "overdue," "no incomplete goals," "possible duplicate," "unreachable," "stage," and "assignee." Filters stay in the URL, so you can share them as-is
  • Add a metric column with the "+" at the right end of the table (decide the name, type (text / number / date / select), and unit). Metric cells can be written directly
  • From a column header you can sort, rename, "remove from table," and change the width. Shift-click to stack up to three sorts. In the table's last row, you can choose a summary such as count or sum for each column
  • From "Display" in the toolbar, you can sort, switch which columns are shown (the "Days in stage" column is hidden at first), and open "List rules"
  • With "Add customer," add customers from the table one at a time. The assignee and current-stage cells can be fixed right there (write a reason when changing the current stage). From a row's menu, you can "Remove from list"
  • "Today's suggestions" lists today's asks auto-generated from the marks (they appear in the guide area above the table). Use "Ask AI" on each row to build an instruction that includes the target customer's name
  • Pressing "Ask AI" lets you choose what to ask ("Proceed with today’s moves," "Add customers," "Update customer information") and assembles an instruction you can hand off via "Open in Claude Code," "Open in Codex," "Open in ChatGPT," or "Copy instruction"

Customer page

Click a customer's name to open the customer page. The left side shows customer info, contacts, affiliation, the lists they're in and their current stage, and metrics; the right side has the "Activity," "History," "Related goals," and "Body" tabs.

  • Contacts: The other party's IDs such as email, phone, LINE, along with the "Reachable" mark and "Label." If you have edit permission, you can fix whether messages reach them and the "Label" on the spot via "Edit contact details"
  • People at this company: A company page lists the contacts and last exchange of the people who belong to it
  • Activity: What happened with the other party is listed newest-first. Ask AI to record new interactions with "Collect new interactions" in "Ask AI". Activities are recorded automatically when an intake receives data and when a related goal is completed. To log something yourself, write a summary and a link to the source via "Write" (no email or message is sent)
  • History: The record of operations inside Addness. It keeps who (person / AI / automatic), when, and for what reason performed stage changes and merges/deletions of customers. It's append-only and can't be rewritten
  • Related goals: You can "create a goal from what to do at this stage," "create an empty goal," "link an existing goal," and "unlink"
  • Possible duplicate: Shown when there might be another row for the same party. "Merge into one" is an irreversible operation only organization admins can do, so write a reason and execute. If it's not the same party, press "Different customer"
  • "…" (More) on the customer page: Contains "Add to list," "Copy customer ID," and "Delete customer." A deleted customer can be restored within 30 days (filter "All customers" by "Deleted" to find it)

List rules

Open them from "Display" → "List rules" in the list table. Change the stages and the daily refresh (who refreshes by what time each day) via "Ask AI," and add metrics shown in the table with the "+" at the right end of the table. The list name, notes, and status (Active / Paused) are changed on the spot by people with edit permission. While a list is paused, the reminders and things-needing-attention stop (you can still view the list table).

You also delete a list from here. A deleted list can be restored within 30 days from "Deleted customer lists" at the bottom of the customer list overview (the customers that were in the list aren't deleted).

Adding customers automatically

This mechanism automatically adds people to a customer list when they register or purchase, and notifies the members you choose. You can connect it to Polar, Stripe, application forms, or your own service. Create an intake for each source in "Add customers automatically" under "List rules."

Intakes can be created by people who can edit the list. Set one up yourself with "Create an intake," or leave it to the AI with "Ask AI" (the AI decides the details in the conversation before setting it up). People who can't edit the list see a "Set up an intake" button and can ask the owner.

"Create an intake" proceeds in four steps.

  1. Service: Choose from "Polar" (registration and purchase notifications), "Stripe" (payment completion notifications), and "Other" (forms and your own service), then decide the "Intake name" and "Intake mode." If the mode is "Create customers and add them," choose "Who to add to the customer list" ("The company and its contact" or "The person who applied"); if it's "Only record events for existing customers," choose the "Event kind" (paid, signed a contract, canceled, and so on) and "People outside the customer list" ("Ignore" or "Only record an activity"). "Only record events for existing customers" doesn't add new customers; it records an activity on customers who already exist
  2. URL and signing key: Paste the displayed receiving URL into the source's notification destination (Polar: "Settings → Webhooks"; Stripe: "Developers → Webhooks"). The full receiving URL is visible only on this screen (after closing, you can get a new URL with "Regenerate the URL"). Paste the signing key shown by the source to move on (required for Polar and Stripe, optional for Other)
  3. First event: Send a test event from the source. The first event is only used to check the settings and doesn't become a customer
  4. Field mapping: Check which fields of the received content are used for the company name, name, email, phone, and so on (either email or phone is required; for "Only record events for existing customers," one of email, phone, or external ID). Decide the "Destination stage," "Channel" (the channel recorded in the activity), and "Notify members" (up to 20 people), then press "Start with this mapping." With "Only record events for existing customers," you don't choose a stage or notify members

People who arrive after you start go into the chosen stage, and the notify members get an Addness notification ("◯◯ was added to ◯◯"). The member who saved the settings becomes the acting member, and customers are added under that member's name and edit permission.

An intake has three states: "Receiving," "Setup in progress," and "Paused." Open an intake's row to check the received records (time received, result, and details). Received records are kept for 30 days. People who can edit can, from within the row, "Change the field mapping," "Change the stage, channel, and recipients," "Regenerate the URL," "Change the signing key," "Pause the intake," "Resume the intake," and "Delete the intake." When the person who saved the settings can no longer edit the list, or when the destination stage no longer exists, the intake stops and an "Intake “◯◯” was paused" notification arrives.

You can have up to 5 intakes per list and up to 20 per organization.

Permissions

Permissions have three levels — viewer / editor / owner — seen in the members panel in the list table's header. Viewers can only look, editors can move stages and customers, and owners can also change permissions. Organization admins can edit even as viewers. Customers not in a list are visible only to the creator and organization admins.

If you try an edit action without edit permission, "This action requires edit permission" appears, and you can ask the owner right there.
